Your Books
Done Right

Bookkeeping, tax and notary for businesses across Texas — with job costing and 1099s done properly for contractors.

Tell me where the books are

A few lines is plenty. I'll come back to you myself.

Goes straight to Heather. No newsletter, no list.

  • You'll know which jobs made money. Costs coded to the job as they land, so a bid you're about to repeat isn't one that lost money last time.
  • You get me, every time. MooBooks is one person. No account manager, no handoff, no explaining your business twice.
  • Behind is fixable. Months of unopened statements and a truck console full of receipts is a normal place to start from.

Services

Four things, done properly.

Bookkeeping & reconciliation

Every account matched to the statement, every month — numbers you can hand a lender without apologising for them.

Construction accounting

Costs coded by job, 1099s tracked all year, retainage and WIP where you can actually see them.

Tax preparation

Returns filed off books that were already right. No March scramble, no surprise bill.

Notary

Affidavits, lien waivers and releases sealed here — one less errand before you get paid.

The difference

Built for people who run crews.

Six jobs, six margins, money held back on three of them, and a stack of subs who all need a 1099 in January. General bookkeeping doesn't cover that. This does.

  • Job costing Labour, materials and subs coded to the job they belong to.
  • Per-project P&L A profit line for every job, not one figure for the year.
  • Subcontractor 1099s W-9s chased when a sub starts, not the week before filing.
  • Work in progress What you've billed against what you've actually earned.
  • Retainage The 5 or 10 percent held back, tracked as money owed to you.
  • Lien waivers Kept in step with what's actually been paid. Notarised here.

About

Heather Baird, and that's the whole team.

MooBooks is one bookkeeper in Luling, Texas. When you call, I answer. When your books are wrong, I'm the one who fixes them.

Working with contractors is deliberate. Construction accounting has its own vocabulary — retainage, WIP, waivers, draws — and it's easier for everyone when you don't have to explain what a draw schedule is before you can ask about it.

Local around Luling, remote across Texas. Mostly bank feeds and shared files, but hand me a folder in person if you'd rather.

Questions

The things contractors ask first.

What does it cost?

It depends on how much is going through the business — how many accounts, how many jobs, how many subs, and whether we're starting clean or catching up. Call me, tell me roughly what you're running, and I'll quote you a flat monthly figure so you're not watching a clock. If catch-up work is needed, that's quoted separately and up front, not billed as a surprise.

Do you work remotely, or do I have to come to you?

Either. I'm based in Luling and happy to meet locally, but most of the work happens through bank feeds and shared files, so I take clients anywhere in Texas. Plenty of contractors I work with send photos of receipts from the cab and never post a thing.

What software do you use?

QuickBooks Online. If you're already on it, I can be added to your existing company file and pick up from where you are — you don't need to start over or move anything. If you're not on it yet, I'll get you set up with the job costing structure in place from day one, which is much easier than retrofitting it later.

My books are a year behind. Is that too far gone?

No, and it's more common than you'd think. A year of statements, receipts and invoices can be rebuilt and reconciled — it's methodical work rather than difficult work. We'd agree the scope and the price before I start, get the year closed out, and then keep it current monthly so it doesn't happen again.

Do you file the taxes as well, or just the bookkeeping?

Both. Tax preparation is one of the services, and it's noticeably less painful when the same person kept the books all year — nothing has to be reconstructed in March, and there are no gaps to explain.

Can you handle my subs' 1099s?

Yes. The trick is doing it through the year rather than in January: W-9s collected when a sub starts, payments tracked against each one as they're made. Then filing season is a report you check, not a fortnight of chasing people who've moved on to another job.

Do I need to switch anything to get started?

Usually not. Most of the time it's read-only access to your bank feeds and an invite to your existing QuickBooks file. Your bank stays your bank, your invoicing stays your invoicing. Call me and I'll tell you exactly what I'd need before you commit to anything.

Let's get your books straight.

Call and tell me what you're running, or send your details and I'll come back to you. Either way you're talking to Heather.
